The Arab Open University (AOU) is a non-profit educational institution founded on a personal initiative by Prince Talal bin Abdulaziz Al Saud, Chairman of the AOU Board of Trustees. Problem Statement

The existing council meeting room at Arab Open University was built on a traditional audio-visual setup that no longer supported the demands of modern, hybrid, and executive-level meetings. Limited visual quality, complex system operation, and lack of seamless integration with unified communication platforms impacted meeting efficiency and user experience. AOU required a modern, automated solution that would simplify meeting operations, enhance audio and visual clarity, support BYOD and UC platforms, and remain easy to use for non-technical users while ensuring long-term scalability and low maintenance.

Challenges

Before deploying the new system, several challenges had to be addressed:

Removal of the existing traditional meeting room AV infrastructure while safeguarding current network and power routing
Transportation and installation of a 110-inch large format display to a second-floor location
Ensuring minimal disruption to ongoing university operations
Designing a solution that is intuitive for non-technical users
Delivering a system that is scalable, low maintenance, and compatible with multiple UC platforms

110” LG Large Flat Panel Display
Installed as the primary visual display, enabling clear presentations and video conferencing. Laptop connectivity was provided through an Extron cable cubby for seamless plug-and-play access.
Extron Control System
Implemented to manage all AV operations, ensuring smooth switching, control, and automation across the room.
ClearOne Audio DSP
Deployed for advanced audio processing, delivering enhanced voice clarity and consistent sound quality.
BYOD Collaboration Solution
Barco ClickShare Conference enabled wireless device connectivity, allowing users to share content and participate in meetings effortlessly from laptops, tablets, or mobile devices.
BOSCH Audio Discussion System
Integrated with the ClearOne DSP and BOSE speakers to provide clear, evenly distributed audio across the room.
iPad-Based Room Control
An Extron IP-based controller was programmed with a clean, user-friendly graphical interface on an iPad, allowing simple one-touch control of displays, audio, and conferencing systems.
